Should You Use a NAS or an External Drive for Household Backups?

A household backup plan usually starts with a simple choice: buy a large external drive, or set up a network-attached storage (NAS) device that several people and computers can use. Both can protect important files, but they fail in different ways and demand different kinds of maintenance.

The better option isn’t necessarily the one with more storage or more features. It’s the one that gives your household a dependable second copy, makes recovery straightforward, and is likely to keep working when you need it. For many homes, that means starting with an external drive. A NAS becomes more attractive when several devices need regular, centralized backups and someone is willing to maintain it.

External drives: simple, inexpensive, and easy to isolate

An external hard drive or SSD connects directly to a computer, usually over USB. You can use it with built-in backup software, file-copy tools, or dedicated backup applications. The arrangement is easy to understand: connect the drive, run a backup, disconnect it when finished, and store it somewhere safe.

That simplicity is its main long-term advantage. There are fewer components to configure, fewer accounts to protect, and fewer background services that can stop working. If the computer fails, you can often connect the drive to another compatible computer and retrieve the files without rebuilding a server or troubleshooting a network.

External drives are also well suited to an offline backup routine. A drive that is disconnected after a backup can't be encrypted by ransomware spreading through your home network at that moment. It can still be lost, stolen, damaged, or infected when connected, so offline storage isn't a complete security strategy. It is nevertheless a useful layer of protection.

The weaknesses are mostly about convenience and consistency. A drive attached to one computer doesn't automatically protect every phone, laptop, or family member’s device. Someone has to connect it, start or confirm the backup, and disconnect it afterward. If that task is regularly postponed, the backup may be far older than you think.

A single external drive also provides limited redundancy. If it is the only backup and it fails, the backup is gone. You can reduce that risk by rotating two drives, keeping one disconnected and in a different location, or adding a separate cloud or off-site copy. The extra drives and routine add some cost, but usually less complexity than a full NAS setup.

NAS devices: centralized access with more responsibility

A NAS is a small computer with one or more storage drives that connects to your home network. It can provide a shared folder for documents, photos, and media, while backup software on your computers sends copies to it automatically. Many NAS systems also support phone photo backups, remote access, synchronization, and snapshots.

For a household with several computers, that central location can be genuinely useful. You don’t have to move a drive from one laptop to another, and each person can have a separate account or folder. A NAS can run scheduled backups while devices are connected to the home network, which reduces dependence on everyone remembering the same manual task.

A NAS can also make recovery convenient. If one laptop stops working, you may be able to restore its files over the network or download them to a replacement computer. Some systems let you recover individual files without restoring an entire backup. That is valuable when the problem is a deleted folder rather than a dead computer.

The trade-off is that a NAS isn't an appliance you can completely ignore. You’ll need to configure user accounts, storage, backup jobs, updates, notifications, and possibly remote access. Networking problems can make a healthy NAS appear unavailable. A failing drive, full storage pool, or expired backup task may require investigation rather than a simple cable replacement.

Remote access increases the maintenance burden. Accessing a NAS from outside your home can be useful, but it also creates another account and internet-facing service to protect. If your household doesn’t need remote access, leaving it disabled is usually the simpler and safer choice.

A NAS connected by wired Ethernet may handle several devices more conveniently than one drive passed between them. The details of your network, storage type, backup software, and data volume matter.

Verify the recovery path you’re choosing: Before buying, check that your computers and phones can back up to the chosen device, that the NAS software supports your operating systems, and that you know how you would restore files if the original device were unavailable. Product features, app support, and security-update policies can change, so confirm them on the manufacturer’s current documentation.

Redundancy isn't the same as backup

NAS marketing often emphasizes RAID, which combines multiple drives so a system can continue operating after certain drive failures. RAID can improve availability and, depending on its level, protect against one or more failed drives. It doesn't protect against accidental deletion, ransomware, theft, fire, a power event, or a failure that affects the whole NAS.

A mirrored pair of drives is a common example. If one drive fails, the other may preserve access to the data. If a user deletes a folder, the deletion can be copied to both drives. If malware encrypts the shared files, both copies may be encrypted. You still need a separate backup, preferably one that is disconnected or stored elsewhere.

External drives have the same principle in reverse: two separate drives can provide useful redundancy, but simply keeping both plugged into the same computer leaves them exposed to the same malware, power problem, or theft. The physical location and connection schedule matter as much as the number of copies.

A sensible household plan aims for multiple copies in different places and, when possible, on different kinds of storage. One copy can be the working data, another can be a local backup for quick recovery, and another can be offline or off-site for larger disasters. You don’t have to implement every layer on the first day, but you should understand which risks your current setup does and doesn't cover.

Ransomware and account security

A NAS is attractive to ransomware because it can expose shared files to several computers at once. If a compromised computer has write access to the NAS, encrypted or damaged files may replace the healthy versions. Strong, unique passwords, separate user accounts, limited permissions, current software, and disabled unnecessary remote access all reduce that risk.

Snapshots or versioned backups can help you roll back files to an earlier state, if your NAS supports them and they are configured correctly. They are another recovery feature, not a replacement for a separate backup. An attacker who gains administrative control may be able to delete snapshots, and a hardware or physical disaster can take the NAS itself offline.

An external drive has a smaller network attack surface when it is unplugged. However, you still need to protect the computer used to create the backup and avoid leaving every backup drive permanently connected. If you reconnect a drive to a compromised computer, the backup can be exposed at that point.

Which option is easier to maintain?

For long-term reliability, count the tasks rather than just the devices. An external-drive plan may require you to connect a drive, confirm that the backup completed, disconnect it, and occasionally test a restore. A NAS plan may automate daily work, but it adds drive-health checks, system updates, account management, storage-capacity monitoring, backup-job reviews, and occasional network troubleshooting.

Automation can make a NAS more reliable in a busy household because it removes the need to remember every backup. It can also create false confidence if nobody checks whether the jobs are succeeding. Notifications are useful only if someone reads and acts on them. A small NAS that has been silently failing for months is less protective than an external drive used carefully every week.

Whichever device you choose, schedule a restore test. Open several files, restore a folder to a different location, and confirm that the backup contains recent versions. For a computer backup, make sure you understand how to create or use recovery media if the computer’s internal drive fails. A backup that exists but can't be restored under pressure is an unfinished backup system.

Cost and recovery speed

An external hard drive generally has the lowest entry cost for a household that needs a local copy. An external SSD costs more per unit of storage but can be quieter, more resistant to movement, and faster for large transfers. A hard drive may be the more economical choice when capacity matters more than speed and the drive will remain in a stationary location.

A NAS usually costs more at the start because you’re buying the enclosure as well as one or more drives. Depending on the model, you may also spend more on replacement drives, a battery backup, or off-site storage. Its value comes from centralized access and automation, not necessarily from cheaper storage.

Recovery speed depends on what you’re restoring. A directly connected drive can be quickest for a large restore to one computer. A NAS can be faster overall for a household because several devices can back up without sharing one physical drive, but Wi-Fi can become the bottleneck. Wired Ethernet is preferable for large transfers, especially when restoring a complete computer or a large photo library.

A practical decision

Choose an external drive if your household has one or two main computers, wants the lowest complexity, or values a backup that can be disconnected and stored away. Buy or assign enough capacity for the data you have now plus reasonable growth, and consider using two drives so one can be offline or kept in another location.

Choose a NAS if several devices need centralized, automatic backups; shared access is important; and someone in the household is prepared to maintain it. Use separate accounts, limit permissions, keep remote access off unless it is needed, and configure a second backup that the NAS can't overwrite or reach continuously.

For many households, the strongest answer isn't NAS or external drive but NAS and external drive. The NAS can provide convenient daily backups and shared storage, while an external drive can provide a removable recovery copy. If that combination is too expensive or complicated, begin with the external drive and establish a dependable routine before adding a NAS.

The right choice is the one you’ll monitor, disconnect or isolate when appropriate, and test before an emergency. Start with the simplest plan that covers your most important files, then add redundancy and an off-site copy as your household’s data and tolerance for downtime grow.
