How to Share a Printer Between Windows Computers Without Creating a Network Mess
A USB-shared printer keeps hardware simple, while a network-connected printer keeps computers independent. I’ll walk you through the first setup steps, permission choices, driver issues, and the point where direct networking is worth it.
Choose the sharing method before changing settings
There are two sensible ways to let several Windows computers use one printer. You can connect the printer by USB to one computer and share it through Windows, or you can connect the printer itself to your home or office network and let each computer add it separately.
USB sharing is often the quickest option when the printer is close to one desktop or laptop. It avoids configuring the printer’s Wi-Fi, and it can work well for occasional printing. The trade-off is that the computer connected to the USB cable becomes the host. It must be powered on, connected to the same network as the other computers, and awake when someone else wants to print.
A printer with its own Wi-Fi or Ethernet connection is more independent. Each Windows computer talks directly to the printer, so no host PC needs to stay available. That usually makes more sense for a small office, a printer used frequently, or a household where the main computer is often asleep or turned off. The setup may take longer, and wireless printers introduce their own network and firmware variables.
Check the current Windows labels first: Settings and printer-sharing screens can differ between Windows 10, Windows 11, manufacturer drivers, and managed work devices. Use the current Microsoft support instructions for your Windows version, and make sure the computers are on a trusted private network before enabling discovery or printer sharing.
Option 1: Share a USB printer from one Windows computer
Start with the computer physically connected to the printer. Print a test page from that computer before sharing anything. If the printer doesn't work locally, network sharing will only make the original problem harder to diagnose.
Give the host computer a clear name and give the printer a short share name. A name such as OfficePrinter is easier to type than a long model number with spaces and punctuation. The computer name can usually be found in Windows Settings under the system information or About area.
On the host computer, open the printer’s properties. Depending on your Windows version, you may reach them through Settings > Bluetooth & devices > Printers & scanners, or through Control Panel > Hardware and Sound > Devices and Printers. Select the printer’s Printer properties, not merely the general app preferences, and open the Sharing tab. Select Share this printer, confirm the share name, and apply the change.
The host and client computers also need to be able to see one another. On a trusted home network, the host’s network profile generally needs to be set to Private, with network discovery and file and printer sharing allowed through Windows. Don't treat this as a reason to enable sharing on a public café, hotel, or airport network. If the computers are on different guest networks or isolated wireless bands, the printer share may not be reachable even when the internet works normally.
From another Windows computer, open the printer settings and choose Add device. If the shared printer doesn't appear, choose the option to add it manually and use a shared-printer path such as:
\\ComputerName\OfficePrinter
You can substitute the host computer’s local IP address if name discovery fails, but a computer name is usually easier to maintain. A changing IP address can make a manually entered address stop working later. If Windows asks for credentials, use an account that is permitted to access the host computer. Avoid disabling security features simply to get past an access-denied message.
After installation, print a test page from the client computer. Confirm that it reaches the expected physical printer and that the correct paper size, color mode, and duplex settings are available. Some shared printers expose only a basic set of options if the client uses a generic driver.
Permissions should stay narrow
Printer sharing has two separate ideas that are easy to confuse: sharing permission and printer-management permission. Most people in a household or small office need permission to print, not permission to change the printer, alter its driver, or manage other users’ print jobs.
The Sharing and Security areas of the printer properties control who can use and manage the printer. Leave ordinary users with the ability to print. Reserve permissions such as managing the printer or managing documents for an administrator or a person responsible for the equipment. Giving everyone management rights may solve one setup problem while creating a larger one.
If Windows repeatedly asks for a username and password, check that the host is actually accepting connections from the client and that the account has a password. Also check whether saved credentials are outdated. A computer can remember an old password and continue failing until the stored entry is corrected. On a shared family computer, separate user accounts are safer and easier to troubleshoot than relying on one account with broad privileges.
For a small home network, you usually don't need to create complicated custom permissions. First make the network private, verify that the host and client can communicate, and use the default print permission. Change permissions only when you have a specific reason, such as limiting printing to household members or preventing users from deleting one another’s queued documents.
Driver differences can change the result
A shared printer doesn't guarantee identical behavior on every Windows computer. The host may have a full manufacturer driver installed while a client receives a Microsoft-provided or generic driver. Basic printing may work, but features such as scanning, borderless printing, stapling, custom paper trays, or duplex control may be missing.
If the client sees the printer but produces an error, prints garbled pages, or offers the wrong options, remove the failed installation and install the appropriate driver for that computer. Use the printer manufacturer’s support page and select the correct printer model and Windows architecture. Don't install a driver for a similar-looking model just because the name is close.
Different Windows computers may also use different processor architectures or operating-system versions. Most conventional home PCs use 64-bit Windows, but older systems and some newer specialized devices may differ. A driver that works on the host may not be suitable for every client. If the manufacturer provides a complete package and a basic print driver, choose the complete package only when you need its extra functions; simpler drivers can be easier to maintain.
Keep the host’s driver and the clients’ drivers reasonably consistent. If one computer has recently received a major Windows update or the printer manufacturer has changed its driver package, test printing from each important client rather than assuming the old setup will behave exactly as before.
The host computer must remain available
The most common surprise with USB printer sharing isn't a permissions error. It is discovering that the printer disappears whenever the host computer sleeps.
The printer is physically attached to the host, so the host is responsible for receiving the print job and passing it over USB. If the host is shut down, disconnected from the network, logged into an unusable state, or asleep without responding to network access, clients may show the printer as offline. A laptop can create additional interruptions when its lid is closed or it moves between networks.
You can adjust the host’s sleep behavior, but do so deliberately. Keeping a desktop awake all day may use more electricity and may not suit a laptop. A better compromise is often to let the host sleep normally when printing is occasional, then wake it when needed. If the computers regularly need the printer while nobody is using the host, the simplest long-term fix is usually to connect the printer directly to the network instead.
Don't confuse a printer that is powered on with a shared printer that is available. The printer may be ready, but the USB-connected computer still has to be reachable. When troubleshooting, check both devices: confirm the printer’s local status on the host, then confirm that the host appears on the same network as the client.
When the printer’s own network connection is better
Use the printer’s Wi-Fi or Ethernet connection when several people print throughout the day, the host computer is a laptop, or the printer is located away from the computer that would otherwise share it. Direct networking also avoids making one person’s computer a small, unplanned print server.
With this arrangement, connect the printer to the trusted home or office network through its display, setup app, or Ethernet cable. Then add the printer independently on each Windows computer. If the printer supports Ethernet and the location allows it, a wired connection can be more predictable than Wi-Fi. Wi-Fi may still be perfectly adequate when the printer has a strong signal and the network is stable.
Direct network printing doesn't eliminate every problem. The printer may receive a new network address, lose its wireless connection, require a firmware update, or appear twice in Windows. If Windows offers both a discovered printer and a manually entered address, avoid adding multiple copies unless you have a reason. Several nearly identical queues make it unclear where a document is going.
Network-connected printers also deserve sensible security settings. Use the printer’s current firmware and a private network, and avoid exposing the printer directly to the public internet. Keep administration protected by a password where the printer supports one. Exact update procedures, security features, and support periods vary by model, so verify them in the manufacturer’s current documentation.
A short troubleshooting order
When a shared USB printer fails, troubleshoot from the physical connection outward. First, print locally from the host. Next, confirm that the host is awake, connected to the same network, and still sharing the intended printer. Then check whether the client can reach the host by its computer name. Only after those checks should you reinstall the client driver or change permissions.
If the printer is visible but jobs remain stuck, open the client’s print queue and check whether it is paused or offline. Look at the host’s queue as well; the job may have arrived but be waiting there. Cancel duplicate jobs before testing again, since a queue full of old failures can make a working printer look broken.
If name-based access fails while the computers can otherwise communicate, use the host’s current local IP address as a temporary diagnostic. If that works, the underlying issue is probably name discovery or a network-profile setting rather than the printer itself. Treat the address as a clue, not automatically as the best permanent configuration.
The practical choice
USB sharing is a reasonable low-cost solution when one always-available desktop sits near the printer and printing is occasional. Keep the share name simple, use ordinary print permissions, install suitable drivers on the clients, and remember that the host must be awake and reachable.
If the printer supports its own reliable network connection, it is usually the cleaner choice for a busy household or home office. Each computer can then use the printer independently, and you avoid the most frustrating limitation of USB sharing: a printer that is technically installed but unavailable because the computer holding its cable is asleep. Start with the simplest arrangement that matches how often you print, then choose independence over cleverness when the shared host becomes a daily bottleneck.
