How to Connect a Printer to Wi-Fi After Changing Routers

Changing your router can leave every phone and laptop online while your printer quietly disappears. The printer may still remember the old network name, use a different security mode than the new router, or need a setup process that isn’t obvious from its small control panel.

The good news is that you usually don’t need to reinstall everything. You need to give the printer the new Wi-Fi details, then make sure the computer or phone is looking for it on the same network. Start with the simplest approach and move to a reset only when the old connection is clearly getting in the way.

Check the new network before touching the printer

Find the Wi-Fi network name, or SSID, and password created by the new router. If you kept the same name and password as the old router, some devices may reconnect automatically. A printer still may not, particularly if it was powered off during the change or if the new router uses different security settings.

Confirm that a phone or computer can connect to the new Wi-Fi from the same room as the printer. This separates a printer setup problem from a broader coverage problem. If the signal is weak where the printer sits, move it temporarily closer to the router for setup. You can move it back once the connection works.

Pay attention to whether your router combines its 2.4 GHz and 5 GHz networks under one name. Many newer devices handle this arrangement well, but a number of printers—especially older or inexpensive models—support only 2.4 GHz Wi-Fi. They may not appear during setup if the phone is connected to a band the printer can't use, or they may fail when the router steers devices between bands.

Confirm the network details: Before starting setup, write down the exact Wi-Fi name and password, check whether the router offers a 2.4 GHz network, and note which security mode it uses. The names of these options vary by router manufacturer and region.

Use the printer’s normal Wi-Fi setup first

If the printer has a screen, open its network or wireless settings. Look for wording such as Wireless Setup Wizard, Wi-Fi Setup, Network Setup, or Wireless LAN. Select the new network from the list, enter the password carefully, and wait for the printer to report a connection.

Passwords are case-sensitive. A printer’s on-screen keyboard can make errors easy to miss, especially when letters, numbers, and similar-looking characters are mixed together. If the printer offers to display or print a network status page, use it to confirm the connected network name and obtain an IP address. An address beginning with a normal private-network range is generally a useful sign, although the exact numbers depend on the router.

If the new network doesn’t appear, refresh the list or restart the printer. Then check whether the router is hiding the network name. A hidden SSID can sometimes be entered manually, but temporarily making the network visible is usually easier for setup. Turn off that setting again only if you have a specific reason; hiding a network name isn't a substitute for a strong password and suitable Wi-Fi security.

Some printers offer Wi-Fi Protected Setup, usually labeled WPS, with a button option or a PIN option. If both the router and printer support the same WPS method, pressing the router’s WPS button and selecting the printer’s WPS function may connect them without typing the password. WPS behavior and availability differ by device and region, so use the manufacturer’s instructions rather than holding buttons at random. The button method is generally less error-prone than entering a long password; the PIN method can be less straightforward.

Reset only the printer’s network settings when needed

If the printer keeps trying to connect to the old router, its saved wireless profile may need to be cleared. Look in the printer’s settings for Restore Network Defaults, Reset Network Settings, Clear Wireless Settings, or similar wording. This is different from a full factory reset: a network reset should remove Wi-Fi details while leaving items such as ink settings and other preferences alone.

The exact button sequence varies widely. On some models, you select the reset from a screen; on others, you hold a wireless button, press a combination of buttons, or use a setup utility. Search for the printer’s exact model number and the manufacturer’s support instructions. Avoid relying on a guide for a similar model, because a wrong button combination may start a deeper reset or simply do nothing.

After the reset, give the printer a minute to restart its wireless function. Return to the wireless setup menu and choose the new network. If the printer prints a configuration page, check that the old SSID is gone and that the new one is shown. A network reset often solves the problem, but it won’t overcome an unsupported security mode or a signal that is too weak.

When the printer needs a phone or computer app

Many current printers use an app to guide wireless setup. Install the manufacturer’s official app on a phone or tablet, or use the maker’s setup software on a computer. During setup, the app may temporarily connect to the printer’s own setup network, transfer the home Wi-Fi details, and then return your phone to the normal network.

Keep the phone near the printer and allow the app to use the local-network or nearby-device permissions it requests. Without those permissions, the app may be unable to discover the printer even though both devices are technically connected to Wi-Fi. Turn off a VPN temporarily if the app can't find local devices; some VPN configurations route local traffic in a way that interferes with discovery.

The phone used for setup should normally be connected to the same home network you want the printer to use. Avoid using a guest network unless you know it permits devices to communicate with one another. Guest networks commonly isolate connected devices, which can prevent a phone or computer from finding the printer for printing and scanning.

Once the app says setup is complete, print a test page from the app or from the operating system’s printer settings. If the test succeeds from the phone but not from a computer, the Wi-Fi connection is probably working and the remaining issue is the computer’s printer installation or discovery. Remove an old offline printer entry and add the printer again using the manufacturer’s software or your operating system’s normal printer settings.

Deal with 2.4 GHz and security compatibility

A printer that supports only 2.4 GHz can't connect directly to a 5 GHz-only network. If your router uses one combined name for both bands, you may need to create a separate 2.4 GHz network temporarily or permanently. Give it a clear name, connect the printer to it, and keep the phone or computer on a network that can communicate with that printer.

Some routers let you disable 5 GHz during setup. That can make the correct band obvious, but it’s usually better to use a separate 2.4 GHz SSID if you expect to reconnect older smart-home devices in the future. Once setup is complete, you can restore the router’s preferred band arrangement and test printing again.

Security compatibility is another common barrier. A very old printer may not support the newest wireless security mode, while a new router may be configured to allow only that mode. Depending on the router and printer, a compatible option might be WPA2-Personal or a mixed WPA2/WPA3 mode. The available choices and recommended settings change over time, so don’t weaken the whole network casually.

Check compatibility before changing security: Look up the printer’s supported Wi-Fi security modes and compare them with the router’s current settings. If you must use a less modern mode, prefer a separate network or isolated setup when your router supports it, keep a strong password, and confirm the manufacturer’s current security guidance.

Never assume that an open network is an acceptable workaround. It leaves traffic and the printer’s management interface less protected. If the printer supports only obsolete security, the long-term answer may be replacing it rather than keeping the entire home network on an outdated configuration.

Troubleshoot a printer that connects but stays offline

A printer can show a successful Wi-Fi connection and still appear offline to your computer. First, restart the printer, router, and computer or phone. Then make sure the computer isn't connected to a guest network, a phone hotspot, or a different router with a similar name.

Check the printer’s status page for its IP address. If the address is missing, the printer didn't complete the network connection. If it has an address but the computer can't find it, the problem may involve device isolation, a firewall, an old printer entry, or a discovery service. Re-adding the printer often resolves stale information. Some operating systems also let you add it by IP address, although a changing address can cause the printer to disappear later.

If the printer frequently loses connection, improve the 2.4 GHz signal, move it away from thick walls and sources of interference, and check whether the router has a device limit or automatic settings that affect older clients. Updating the printer’s firmware may improve compatibility, but use the manufacturer’s instructions and avoid interrupting an update.

If setup still fails

Try connecting the printer temporarily closer to the router, with the printer and setup phone on the same 2.4 GHz network. Re-enter the password after resetting only the network settings. If the printer can't see any networks, its wireless function may be disabled, incompatible with the router’s channel or security settings, or failing mechanically.

At that point, the model’s support page is more useful than generic troubleshooting. Search for the exact model, operating system, and router symptoms together. If the printer is old and supports only outdated security or a discontinued setup app, a USB connection may be a sensible short-term solution, while replacement may be the safer long-term choice.

Once the printer prints successfully, record the network name it uses and keep the manufacturer’s setup app or driver available. The next router change will be easier if you know whether the printer needs 2.4 GHz, whether it has a screen-based setup wizard, and where its network reset option is located. Most reconnection problems come down to one of those details—not a failed printer.
